Privacy policy

Conclavium ("the app") is a financial and administrative tool for fraternal organizations. This policy describes what data we collect and how we use it.

No affiliation. Conclavium is an independent product. It is not made by, endorsed by, approved by, affiliated with, financed by, or sponsored by the Knights of Columbus or any of its jurisdictions. Nothing here is legal, tax, or accounting advice.

Data we collect

• Account data: Email address, name, council and/or assembly membership (council/assembly numbers).
• Organizational data: Financial entries, programs, volunteer hours, meeting notes, reimbursement requests, and related documents (e.g. receipts, signatures) that you or your organization enter. This data belongs to your organization and is stored to provide the app's features.
• Usage and errors: Our error-reporting provider (Sentry) may receive crash reports and error details (e.g. device type, OS) to help us fix issues. We do not use this for advertising or selling data.

How we use data

We use your data to run the app: authentication, storing your organization's data, sending reimbursement-related emails (e.g. approval links via Mailgun), and improving stability (e.g. Sentry). We do not sell your personal information.

Where data is stored

Data is stored and processed using Supabase (database and file storage). Email delivery is handled by Mailgun. Error reporting is handled by Sentry. These providers process data on our behalf under their own privacy and security practices.

Your choices

• Account deletion: In the app, go to Profile → Delete Account. This removes your user profile, volunteer hours, and signature from our systems and deletes your auth account. Data that belongs to your organization (e.g. finance entries, programs, meeting notes) may be retained as organizational records.
• You can request access to or correction of your personal data by contacting us at the email above.

Security

We use industry-standard practices (e.g. HTTPS, secure authentication) and work with providers that implement appropriate security measures.

Changes

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Continued use of the app after changes means you accept the updated policy.
